For Clubs & Leagues

Stop Chasing Membership
Dues by Hand

PurseKeeper matches e-transfers to members, handles new sign-ups and annual renewals with one simple link, and keeps a clean paid/renewed list automatically — so your Membership Chair isn't doing it by memory and a spreadsheet.

The Problem

Tracking membership dues by hand is the same grind as tracking tournament entries.

Dues trickle in one e-transfer at a time, all year and especially at renewal time. Someone has to watch the inbox, match a banking name to a member, keep track of who's renewed and who's lapsed, and follow up by memory.

Watching the Inbox

Every membership payment is a separate email to catch, read, and log by hand.

Manual Matching

Matching a banking name to a member's name, every single time.

Spreadsheet Tracking

Who's renewed, who's lapsed, who still owes — updated by hand after every payment.

The Fix

PurseKeeper reads the deposit notification and updates the member's record automatically.

"The Membership Chair shouldn't need to also be the bookkeeper."
Why Clubs & Leagues Choose PurseKeeper

No App for Members, No Fees Deducted, Just a Clean List

Zero Processing Fees

No Stripe, Visa, Mastercard, or card-processing charge is ever deducted from a membership fee — that's permanent. Members keep sending a regular Interac e-Transfer, exactly like they already do.

New Members & Renewals, One Link

No account, password, or app for a member to figure out — join or renew from a single page, built simple enough for members who don't use a computer often.

Automatic Confirmations

Members get an email the moment their payment is matched, confirming their membership is active.

One Clean, Current List

See who's active, who's renewed, and who needs a nudge, without checking a spreadsheet.

How It Works

Two Sides, Two Short Lists

For the Membership Chair

  1. 1
Turn on Memberships and set the fee. Annual amount, any optional add-on, and your renewal year — configured once in your dashboard.
  2. 2
Share the join link. One link, for new members to sign up any time.
  3. 3
Members pay by e-transfer. Straight into your own account — never PurseKeeper's.
  4. 4
PurseKeeper matches the payment automatically. The member's status updates the moment their e-transfer is matched — no manual entry.
  5. 5
Review exceptions only when something can't be matched. Everything else needs no attention at all.
  6. 6
Renewals go out automatically each year. Every member gets a personal renewal link — or send one yourself any time, for any member, in one click.

For Members

  1. 1
Join with a couple of fields. Name, and either an email or a phone number — no account needed, no app to install.
  2. 2
Get the payment instructions and a unique code.
  3. 3
Send the e-transfer with the code in the message. The same way they already send e-transfers today.
  4. 4
Get confirmed by email. Once the payment is matched, they know their membership is active.
  5. 5
Renew with one click, next year. A personal link arrives when it's time — no password to remember, no re-entering their information.
Built and proven on a real seniors' association's membership renewal — not a concept, a working system.
Questions, Answered

Membership FAQ

Do members need an account, a password, or an app?

No. Joining and renewing both happen from a single link — no sign-in, no app. It's built to work for members who aren't comfortable with technology, including an option to use a phone number instead of email for anyone who doesn't use email at all.

What if two members have the same name?

It's flagged for your Membership Chair to look at, never auto-rejected. Married couples sharing a surname, a parent and adult child with the same name, or a plain coincidence are all real and common — that's a human judgment call, not something a database should decide on its own.

How do renewals actually work?

Each member gets a personal renewal link — valid for a set window, used once. They click it, confirm their information, and pay the same way as a new member. Nothing to remember, no account to log into.

What information does PurseKeeper keep on a member?

Just what's needed: name, and an email or phone number. No address, no extra fields carried over from an old spreadsheet — kept to the minimum on purpose.

Can members opt out of emails?

Agreeing to membership terms and opting into occasional community emails (newsletters, events, programs) are two separate questions — a member can join without ever agreeing to the second one, and can unsubscribe from it any time.

Does PurseKeeper ever touch the money, or see a bank login?

No. Same as the tournament side — PurseKeeper never holds, moves, or has access to anyone's money, and never sees a banking login or password. It only reads a copy of the deposit notification your bank already sends, matched automatically to the right member.

What does it cost?

A separate annual PurseKeeper software fee — no percentage of membership dues, no processing fee deducted. Your organization sets its own membership fee independently; PurseKeeper's own pricing is still being finalized, same as the tournament side. The first pilot may be offered at no cost while it's being evaluated.

Is this actually running anywhere, or is it a concept?

It's live and running a real seniors' community association's membership renewal today — new sign-ups, e-transfer matching, and the renewal-link flow are all in day-to-day use, not a prototype.
